Resourceful multi-tasker? Even better! In this challenging and hybrid position, no two days are the same. As front desk & sales assistant, you’ll lend the sales team a hand with ongoing orders and projects, but it does not stop there. You are the go-to person for any colleague who needs assisting and will thus support different departments if needed. Variety for the win!
You obviously assure permanence at the front desk, answer phone calls and make visitors feel welcome, but you just as well excel in making travel arrangements and following-up on shipments or collections of orders. Occasionally, you can even help us organise meetings or internal events.
You like administration, right? Because you'll process repair orders and do monthly check-ups on the operational agenda as well. Oh, and we send out a lot of samples... You can surely help us with that!
Supporting both our international sales colleagues as the Belgian team, you create/edit contacts in the ERP system, occasionally adjust a quote and handle simple customer requests like a pro.
Together with the various departments, you monitor the status of ongoing orders and take timely actions. This includes gathering and passing on information and making practical arrangements to ensure everything is produced, delivered or installed as it should.
Whenever necessary, you contact clients to solve a problem or pro-actively follow-up on a quote, a recent order or an outstanding payment.
Did you know we have a rental department as well? They will love you for helping them with their administration: create reports, edit and proactively check stock for current quotes / orders, … Many other departments could also use an administrative hand. Together with the Marketing department, you can even prepare and follow-up on the trade shows we do.
TRANSPORT BACK UP
As the direct back-up of our Transport Coordinator, you book outbound transports with parcel-service partners daily.
In his absence, you will advise the sales teams on the different methods of inbound & outbound transports and book the service of choice. Of course, we will train you for this and teach you all about the different suppliers, import-export formalities, packaging, etc. Exciting, no?
Incorrect address, receiver not present, delays, damage? You’re happy to help!
